Why We Ask for Account Access

We know sharing account access can feel like a big step and we don’t take that lightly.

We request access so our team can manage your books accurately, proactively, and without creating extra work for you each month. 

Here's how the information we request is used:

1. For monthly bookkeeping and reconciliation

We access your accounts to download statements and review transactions so your books stay accurate and up to date.

  • Bank accounts: review checks, deposits, wires, and statements
  • Credit cards: download and verify transactions
  • PayPal: download custom statements and reference transactions
  • Stripe: pull reports to reference refunds and report merchant fees
  • Checkout platforms: organize revenue by offer for clearer reporting
  • Loans: reconcile interest charges and track balances
  • Payroll: reference reports to ensure everything is properly recorded

2. To keep accounts connected to QuickBooks Online

To connect your accounts to QuickBooks Online, your login credentials must be entered directly into the software during setup or if any accounts become disconnected.

3. To file 1099s at the end of the year

We collect key business information upfront (like your business address, EIN, etc.) so we don't have to request it from you at the end of year when we're under strict deadlines.

4. To reduce the back-and-forth each month

By having direct access to the accounts necessary to maintain your monthly books, our team can complete your bookkeeping each month without needing to follow up with you or your team for every detail (saving you time and keeping things running smoothly).

Why we use Google Sheets


We use Google Sheets because it offers strong security and encryption, allowing us to store and manage your account information in a secure, centralized location.

  • Files are stored within our secure business Google Workspace
  • Protected with industry-standard encryption (SSL)
  • Access is limited to only you and the necessary team members
  • Any new access requests are always verified directly with you

Please note: we use these sheets during onboarding and for ongoing monthly work.

How we keep your data secure

Protecting your information is a top priority. We’ve implemented multiple layers of security across our systems and processes. Here are some of the safeguards we have in place:

  • US-based team members with background checks
  • Password-protected devices across our entire team
  • YubiKey authentication required for all team computers
  • Anti-malware protection on all team computers
  • Remote device management to lock or wipe devices if lost or stolen
  • Secure password management through LastPass
  • Secure business Google accounts used across our systems
  • Restricted access so only team members who need your data can access it
  • Limited-access logins whenever possible so you don’t have to share personal credentials
